These are frequently asked questions related to the application to audition for the Games of the XXXII Olympiad Opening/Closing Ceremony assistantcast.

Recruitment

Q:Please tell us what this recruitment is all about.

A: We are recruiting from the general public for cast members to greet and guide athletes during the Opening and Closing Ceremonies of the Tokyo 2020 Olympic and Paralympic Games.

Q:Do you plan to solicit applications from the general public for cast members in types and categories other than you've shown us this time?

A:We are planning to recruit university students as stage support cast members through cooperation with universities. The details have yet to be decided, but we are considering how to provide opportunities for university students to participate in the Opening and Closing Ceremonies.

Application

Q:Please tell us the details of the cast members you are trying to recruit.
A:

(1) Tokyo 2020 Olympic assistant cast members (about 1,000 members)
Assistant cast members will support each delegation at the Opening/Closing Ceremonies for the Tokyo 2020 Olympic Games.
- They will welcome the athletes when they enter the stadium and guide them into the field.
- After the athletes have entered the stadium, they will provide support for the athletes to enjoy the Opening/Closing Ceremonies.

(2) Tokyo 2020 Paralympic assistant cast members (about 1,200 members)
Assistant cast members will support each delegation at the Opening/Closing Ceremonies for the Tokyo 2020 Paralympic Games.
- They will welcome the athletes when they enter the stadium and guide them into the field.
- After the athletes have entered the stadium, they will provide support for the athletes to enjoy the Opening/Closing Ceremonies.

Q:When does the application period begin and end?

A:7 February, 2020 - 28 February, 2020

Q:What is the overall schedule of the cast members?
A:

7 February, 2020: Application announcement
7-28 February: Applications open
Early March: Application screening, matching and lottery drawing
Late March: Application results are released (tentative)
April: Briefing (briefings will be held in Tokyo. Several briefing sessions are expected)
Mid-July: Rehearsal for Olympic assistant cast members (expected to be held over several days in the Kanto region)
24 July: Tokyo 2020 Olympic Games Opening Ceremony (the event proper)
Early August: Rehearsal for Olympic assistant cast members (expected to be held over several days in the Kanto region)
9 August: Tokyo 2020 Olympic Games Closing Ceremony (the event proper)
Mid-August: Rehearsal for Paralympic assistant cast members (expected to be held over several days in the Kanto region)
25 August: Tokyo 2020 Paralympic Games Opening Ceremony (the event proper)
Early September: Rehearsal for Paralympic assistant cast members (expected to be held over several days in the Kanto region)
6 September: Tokyo 2020 Paralympic Games Closing Ceremony (the event proper)

※There is a possibility that activities may last until after 22:00.
Q:Will screening be conducted?

A:A lottery draw and matching of activities with roles will be conducted.

Q:How will the matching be conducted?

A:As there is a possibility that communication in a foreign language, etc., will be necessary, for some applicants we will match the activity, role, etc., with the information entered on the assistant cast member application site and conduct a lottery drawing. You will not be able to give your preference in roles at the time of application.

Q:How many people are you going to recruit from the general public this time?
How many people will be selected with each recruitment?

A:We are planning to recruit about 1,000 people as Olympic assistant cast members and about 1,200 people as the Paralympic assistant cast members. However, there is a possibility that the number of cast members who will appear in (and recruited for) the events may vary.

Q: Can people who have already applied to be field cast volunteers or city cast volunteers, and will proceed to take the joint training programs, also apply?

A:Yes, they can.
Those who take part in, are currently involved in, anticipate to be involved in, or have the possibility of becoming involved in the Tokyo 2020 Olympic and Paralympic Games such as by serving as Tokyo 2020 Games' volunteers, must mention the fact when filling out the application form under "Plans to take part in the operations of the Tokyo 2020 Games".

Q:I have also applied to be a cast member for the Paralympic Games. Is it possible to be selected for both?

A:It is possible to apply, but you will not be selected for both.

Q:Are there any age restrictions?
A:

Applicants must be born before 1 April, 2002.

※Those born on or after 1 March, 2000 must obtain the consent of their guardian.

Q:Can school students apply?

A: Yes, they can apply as long as they fulfill eligibility for application in terms of age (those born on or before 1 April, 2002). Minors (those born on or before 1 March, 2000) must obtain consent from their parents/guardians before applying.

Q:Will I be asked whether I have impairments? If I do, will its type and grade be questioned?
A:

The presence or absence of impairments will not affect the screening. If there is an impairment, however, you will be asked to fill in the following items in the application website.

  • ・Type and name of impairments (For type of impairment, select your type from "visual impairment, hearing impairment, physical impairment, functional impairment, mental impairment, intellectual impairment, developmental impairment, multiple impairments, or other" and enter the specific name(s) of your impairment or impairments.) (If you have a disability certificate, please inform us the type and class of the certificate.)
  • ・Declare any assistive devices such as crutches/white cane, wheelchair (electric and/or manual, etc.)
  • ・Declare any other matters to take into consideration/note
Q:In the case that people with impairments can apply, if they require a personal assistant, can they apply with a personal assistant?

A: Yes they can. Applicants can submit an application for themselves and one personal assistant.

Q:Is it possible for the personal assistant to become an assistant cast member as well?

A: The personal assistant can also apply to be an assistant cast member. If the personal assistant also wishes to be an assistant cast member, that information should be entered on the application site. In the case that they are selected, the selection will be for both the applicant who requires a personal assistant and their personal assistant.

Q:In submitting applications, are there restrictions in terms of nationality or residence qualification?

A: Those living in Japan durnig the period of 1 April, 2020 to 6 September, 2020, and who have either a Japanese nationality or status of residence in Japan, may apply.

Q:Are there any items or documents that the personal assistant must also submit?

A:You will need to carry your personal identification (one of the following documents) to present at the briefing scheduled in April.
Passport, residence card in Japan, Japanese driver's license, Japanese Personal Identification Number Card ("My Number Card").

Q:The Guidelines for Applying for Auditions include the condition, "Those who can communicate in Japanese." If a person has difficulty communicating in Japanese, can't you arrange interpreters to help out?

A: If an interpreter is required, you will need to make the arrangement yourself. An interpreter needs to be arranged in order to communicate with the staff as well as the cast secretariat office. In this case, please register the interpreters as your personal assistant.

Q:I can communicate in Japanese, but I can't read or write. Can I still apply?

A: Yes, you can apply. However, the application form is in Japanese only and you will have to fill it out in Japanese. If it is difficult for you to fill it in using Japanese, please ask someone to help you. (In the interests of protecting personal information, the Tokyo 2020 Ceremony Cast Secretariat is unable to assist with completing forms.)

Q:Can I apply for assistant cast roles both for the Olympics and the Paralympics?

A: Yes, you can apply for cast roles in both Games. There is a possibility that you are selected either for the Olympics or the Paralympics, or that you are selected for both the Olympics and Paralympics.

Q:Because of my schedule, I can attend the Olympics'/Paralympics' Opening Ceremony only. Can I still apply?

A: Olympic assistant cast members will attend both Olympic Opening and Closing Ceremonies. Paralympic assistant cast members will attend both Paralympics' Opening and Closing Ceremonies.

Q:After I've been selected, can I choose the roles or positions within that category?

A: The roles or positions are to be assigned once recruitment is complete.
Cast members cannot choose their role or position.

Q:Once I've been selected as a cast member, can I still withdraw?

A: If you decided to withdraw, we cannot stop you. But considering this is a chance to perform on the stage of the Opening and Closing Ceremonies of Olympic Games and Paralympic Games, we hope that you will be able to participate fully.

Q:Will my registration ever get canceled after I've been selected?

A: Registrations may be canceled in cases such as below.
- The cast member asks for the cancellation.
- Acts that may damage the reputation of Tokyo 2020 Games or are considered inappropriate as a member of the Opening and Closing Ceremonies.
- Any harm or nuisance caused to people involved or audiences.
- If it is found that the content of the application is factually incorrect.
- If there has been any violation of the terms of application.

Q:Are there souvenirs or allowances for taking part?
A:
  • ・We are planning to give a souvenir that will serve as a memento of your participation to be provided after your performance.
  • ・Costumes and other items will be lent to you according to the roles you will be asked to play (details to be confirmed).
  • ・Food and beverages will be provided as required (one meal during your activity time). (We are also planning enough food and beverage to serve one personal assistant.)
  • ・Transportation to the meeting place and any and accommodation costs are to be borne and arranged by the cast member. We will, however, cover part of the transportation costs on the days of your activity during the activity period (1,000 yen/day per cast member is planned to be paid in digital currency. This is also expected to be available for one personal assistant).
  • ・Cast members will be covered by injury insurance during the activity period. (Personal assistants will also be covered. The details will be disclosed at the briefings to be held in April.)
Q:What do you suggest I do about accommodation during the period of activity?

A: Applicants must pay and arrange their own accommodation.

Q:Will I receive a performance/appearance fee?

A: No payment is made for performances, etc. To cover the transportation fee from your home to the meeting place during the activity period, 1,000 yen/day per person will be offered. (We plan to pay 1,000 yen/day uniformly in digital currency. We also plan to pay the same amount to one personal assistant for each cast member.)

Q:In case the rehearsals and the actual events ended so late in the evening that no more public transportation services were available to my home, who would pay for the (additional) transportation and lodging costs that would accrue?

A: We are planning to have rehearsals and the actual events to be completed while public transportation is in operation.

Q:Will my experience in past Olympic and Paralympic Games be taken into consideration?

A: We welcome any one who already has experience in performing as a cast member in such occasions as sporting event ceremonies.

Q:I do not have Japanese nationality, but I currently live in Japan although I plan to return to my home country soon. In this case, can I apply for a role?

A: Those living in Japan durnig the period of 1 April, 2020 to 6 September, 2020, and who have either a Japanese nationality or status of residence in Japan, may apply.

Method of application

Q:Where do I submit an application to become a cast member?

A: Go to the Tokyo 2020 Official Website, and apply from the linked "Tokyo 2020 Assistant Cast Member Application website." URL:https://tokyo2020.org/jp/games/ceremony/assistantcast/

Q:Are there any methods of application other than online?

A:The only method of application is through the designated form online.

Q:I cannot find "Recruitment of cast members" in "My Page" that I created for a field cast volunteer/city volunteer.

A:You will not be able to apply as a cast member through the volunteer My Page. Please register a new profile and submit an application through the designated form for the cast application.

Q:I have a visual impairment. Can you let me apply and register by phone?

A:In the interests of protecting personal information, we cannot allow inputting of data by the Tokyo 2020 Ceremony Cast Secretariat. Please ask a close friend or relative to assist you in applying.

Q:An error occurred while inputting my data. I don't know how to correct this.

A:Please check error messages. (You cannot proceed to the next step if there are missing entries in the required items.)

Briefing

Q:Where will the briefing take place?

A:It is planned to be in Tokyo metropolitan area. The details will be shared separately to successful recruits.

Q:Do we receive notification if were not selected?

A:You can check on the website's "My Page."

Q:I would like to know why I was not selected.

A:This is the result of matching of activities and roles and the lottery drawing.

Rehearsals

Q:Please tell us about the activity period.
A:

Activities planned as at this time are as follows. Several briefings are to be held in Tokyo during April.

    April: Briefings (held in Tokyo) *Several sessions are expected.

Q:Where will the rehearsals take place?

A: The rehearsals are to take place in the Kanto region.
The Ceremonies (actual events) will be held in the Olympic Stadium.

Q:Will the rehearsals be carried out for several days in a row?

A: Rehearsal scheduling will be planned with consideration to the physical conditions of the cast. The rehearsals may be carried out continuously over several days, but not more than five days in a row.

Q:About how long are the hours of activity each time?

A: The time and duration of sessions will be decided with consideration of the physical conditions of the cast members. Rehearsals will be carried out, with breaks in between, as needed.
Waiting times may be extended, depending on how the rehearsal goes.

Others

Q:What sort of measures are you considering to protect us from hot weather?

A: Measures to protect the cast from hot weather are under consideration. Specifically, we are considering locations and the types of the activies, the appropriate amount of breaks depending on cast member's physical conditions and other work place conditions such as hydration.

Q:I have an impairment and require support. In this case, can I have my family accompany me, instead of on-site staff?

A: A personal assistant registered in advance may wait for you in a separate waiting room or accompany you during the ceremony. A person who is not registered in advance may accompany you to the venue, but may not enter the venue. Any sign language interpreters required during rehearsals and the events proper will be provided by the organiser.

Q:Have you arranged sign language interpreters?

A: We will make arrangements.

Q:Can I have a personal assistant with me during briefings and activities?

A: A personal assistant registered in advance may accompany you to activities and briefings. A person who is not registered in advance may accompany you to the venue, but may not enter the venue.

Q:I want information on insurance, such as the age and coverage of the insurance, and premiums, for example.

A: Appropriate insurance to cover all ceremony cast members during the activity is currently under consideration. The details will be disclosed at the briefings to be held in April.

Q:What specifically does the "fee corresponding to transportation cost (1,000 yen per day)" cover?

A:It is to be paid in digital currency. (We also plan to pay the same amount to one personal assistant for each cast member.)

Q:Does the amount of the "fee corresponding to transportation cost of 1,000 yen/day" apply to both those living in the Tokyo metropolitan area, and those living in regions?

A: Regardless of where you live, 1,000 yen/day per person will be offered. (We also plan to pay the same amount to one personal assistant for each cast member.)
